Off-the-shelf booking systems are tempting — quick to set up, affordable, and working from day one. But what if your business needs more than a template can offer? Let's look at when a custom solution makes sense, and when an off-the-shelf tool is perfectly fine.
Off-the-shelf solutions — when they make sense
If you are just starting out or running a simple operation, ready-made tools like Reservio, Simplybook or Calendly are a great choice. They are quick to set up, the monthly fee is low, and the basic features are all there.
They make sense when:
- you need bookings up and running as quickly as possible
- your process is straightforward (one type of service, one or a few staff members)
- you do not need integration with your own systems or e-shop
- your booking volume is small and you do not need custom reports
When an off-the-shelf solution stops being enough
Problems arise when your business outgrows the template. It usually looks like this:
You pay for features you do not use — and the ones you need are missing. Off-the-shelf systems are built for the average user. If you have specific logic (different prices per customer, combined services, seasonal capacities), you will quickly hit their limits.
Your customers see someone else's interface. The booking happens on the provider's subdomain, in their design, with their branding. That looks unprofessional and undermines trust.
There is no connection to what you already have. Need to sync with your invoicing software, internal CRM or e-shop? With off-the-shelf tools, that either is not possible or requires expensive API integrations.
You are dependent on the provider. They raise prices, change their terms or shut down — and you are left without your data or any control.

How much does it cost — and when does it pay off?
A custom system is a bigger upfront investment — but factor in the ongoing cost of off-the-shelf tools over time.
For example: Reservio Pro costs around 1,500 CZK per month. Over three years that is over 50,000 CZK — and you still do not own the system, the data, or any custom functionality.
A custom system in its basic version starts from around 30,000 CZK. You pay once, then only for hosting and any future changes. And most importantly — it grows with you.
